Privacy Policy

Better Listing Media LLC (“we,” “us”) operates the Better Listing Media platform at betterlistingmedia.com and its subdomains — an AI-powered real estate photo editing service. This Privacy Policy explains what information we collect when you use the Platform, how we use it, who we share it with, and how long we keep it.
By using the Platform you acknowledge this Policy and our Terms of Service.
1. Information we collect
1.1 Account information
When you create an account we collect your name, email address, optional phone number, and the password you set (stored hashed). For business customers we also collect business name, billing address, and any white-label branding details you provide (logo, slogan, social links, support email).
1.2 Photos and media you upload
The Platform exists to process the photos you upload. We store the source files, any intermediate AI outputs, and the finished deliverables in encrypted-at-rest object storage (Cloudflare R2). Embedded EXIF metadata (camera model, timestamp, GPS coordinates if present) travels with the file unless you strip it before upload — we do not strip it automatically.
1.3 Billing information
Payment processing is handled by Stripe. We do not see or store full card numbers; we only receive a token, the last 4 digits, brand, and expiry needed to recognize the card. Refer to Stripe's privacy policy for how they handle the underlying payment data.
1.4 Usage data
We collect routine usage information needed to operate the service: IP address, browser type, device type, pages visited, features used, timestamps, and error logs. We use first-party cookies for authenticated sessions and standard analytics.
1.5 Communications
When you email support or fill out a contact form, we keep a record of the conversation so we can help you and improve.
2. How we use information
We use the information described above only as needed to:
- Deliver the editing service — uploading, processing, storing, and serving your media
- Process billing, including subscription renewals and credit deductions
- Provide white-label client delivery pages to your end clients
- Send transactional email (order receipts, delivery notifications, support replies, billing alerts)
- Detect abuse, prevent fraud, enforce our Terms, and maintain Platform security
- Improve product quality (using aggregated, anonymized metrics — never identifiable customer media)
- Comply with legal obligations
We do not sell your personal information. We do not show advertising on the Platform.
3. AI processing — where your photos go
Editing your photos requires our proprietary pipeline to transmit image data to enterprise-grade AI infrastructure that we operate and to a small set of trusted processing partners under written data-processing agreements. Our partners are contractually prohibited from retaining your media, using it to train models, or transferring it to any third party.
We transmit only the image data necessary to perform the requested edit. We do not transmit your account name, email address, billing data, or any other personal information to processing partners.
For competitive reasons we do not publicly disclose the specific models or providers that make up our pipeline. If you are an enterprise customer with a security review or DPA requirement, email support@betterlistingmedia.com and we can share the relevant vendor list under NDA.
4. Other service providers we use
To run the Platform we rely on a small number of trusted vendors who only process data on our behalf, including payment processing, authenticated database hosting, encrypted object storage, application hosting, and transactional email delivery. Each is bound by a data-processing agreement that restricts them to operating the service on our behalf.
We do not transfer customer data to any other party except as required by law, to enforce our Terms, or as needed by our processing partners to deliver the service.

5. White-label delivery pages and client data
If you use the white-label client delivery feature, your end client's browser may receive a delivery page that shows your branding alongside the photos you have delivered. We log basic access information (timestamp, IP, referrer) for security and abuse-prevention purposes. We do not collect personal information from your end client unless they submit a booking request through your branded booking page, in which case that request is forwarded to you.
You are the data controller for any end-client information collected via your white-label or booking pages; we are the processor.
6. Data retention and deletion
Default retention windows:
- Source photos and AI intermediate files: deleted 30 days after the job is delivered
- Final delivered photos: deleted 90 days after delivery
- Account record: retained while the account is active; deleted within 90 days of account closure (some metadata required for accounting/tax may be retained longer)
- Billing records: retained for 7 years as required by US tax/accounting rules
- Support emails: retained for 3 years
You can request earlier deletion of your account and stored media at any time by emailing support@betterlistingmedia.com.
7. Your rights
7.1 If you are in the United States
Depending on your state of residence (e.g. California, Colorado, Virginia, Connecticut, Utah), you may have the right to know what personal information we hold about you, request a copy, request deletion, correct inaccurate information, and opt out of any “sale” or “sharing” of personal information for targeted advertising. We do not sell personal information and we do not engage in targeted advertising.
7.2 If you are in the European Economic Area or United Kingdom
You have the rights of access, rectification, erasure, restriction of processing, data portability, and objection under the GDPR / UK GDPR. The lawful bases we rely on are: performance of a contract with you (delivering the service you paid for), legitimate interests (security, abuse prevention, product improvement), and consent (where required for marketing emails).
7.3 Exercising your rights
Email support@betterlistingmedia.com with the subject line “Privacy request” and we'll respond within 30 days.
8. Security
We use industry-standard practices to protect your information: TLS in transit, encryption at rest in R2, hashed passwords, signed download URLs with short expirations, HMAC-verified webhooks between our services, and access logs for sensitive operations. No system is 100% secure; if we become aware of a breach affecting your data we will notify you without undue delay as required by law.
9. Children
The Platform is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has given us personal information, email support@betterlistingmedia.com and we'll delete it.
10. International transfers
Our servers and the third-party AI providers we use are located primarily in the United States. If you access the Platform from outside the US, you consent to your information being transferred to and processed in the US under applicable safeguards.
11. Cookies
We use a small number of first-party cookies required for authentication, CSRF protection, and remembering your session. We do not use third-party advertising or cross-site tracking cookies.
12. Changes to this Policy
We may update this Privacy Policy as the Platform evolves. The effective date at the top of the page indicates the latest revision. Material changes will be communicated via email or in-product notice at least 14 days before they take effect.
